Let the AI receptionist answer for you
Reply to texts and emails while you're on a job, and hand anything tricky to a person.
2 min read
The receptionist answers texts and emails for you, from what it knows about your business. Anything tricky goes to your team.
Do Set up the AI assistant first, and test it. The receptionist can only be as good as those notes.
Turn it on
- Open AI assistant and find AI receptionist.
- Turn the switch on.
- Under Channels, tick Texts, Emails or both. This needs a connected number or address.
- Under Who it replies to, pick New leads only, or Anyone the team hasn't answered in time, with how many minutes to wait.
- Under When it replies, pick Any time, Only during opening hours or Only outside opening hours.
- Set the limits: AI replies per conversation and AI answers for the whole account, which keeps costs predictable.
- Choose Save AI settings.
It only answers messages that arrive from now on. Nothing already in the inbox is answered.
Handing over to the team
When the AI can't help, it stops, tags the contact needs-human and lets the team know. It stays out of that conversation until someone replies. You'll see why at the bottom of the thread.
Add your own rules to Also hand over when, such as "someone asks about an insurance claim".
Being open about it
Keep Say that replies may come from an assistant ticked. It's added to the end of every AI reply. It's recommended, and required in some places.
Keep an eye on it
Receptionist activity on the same page lists the latest messages it looked at, and what it did: Replied, Didn't reply or handed over. In the inbox, its messages are marked AI receptionist.
